Talentory is a specialist recruiting service for mission-critical AI infrastructure roles, operated by TacticalEdge AI ("Talentory," "we," "us"). We build verified shortlists for employers and help candidates present their electrical, mechanical, cooling, and controls experience. This policy explains what personal information we collect, why we collect it, and the rights you have over it.
This policy applies to talentory.ai and to candidates, employers, and visitors who interact with us.
2. Legal basis for processing
Where the GDPR applies, we rely on the following legal bases:
- Contract: processing needed to provide our recruiting service, evaluate candidates against a requisition, and communicate with employers and candidates.
- Consent: where you have opted in - for example, analytics cookies, marketing emails, or joining the candidate network.
- Legitimate interest: service improvement, security monitoring, and fraud prevention, where not overridden by your rights.
- Legal obligation: processing required to comply with applicable laws and regulations.
3. Information we collect
3.1 Information you provide
- Contact details (name, email, phone, company).
- Candidate profile data (work history, certifications, systems experience, shift and travel readiness, compensation expectations, location).
- Resumes, portfolios, and any documents you submit.
- Employer requisitions and role requirements you share with us.
- Communications with our team.
3.2 Information we collect automatically
- Usage data (pages viewed, actions taken).
- Device and browser information.
- Log data (IP address, access times).
- Cookies and similar technologies, subject to your cookie preferences.
4. How we use your information
- To match candidates to employer requisitions and build verified shortlists.
- To verify credentials, systems experience, and references.
- To communicate about roles, applications, and support.
- To improve our matching, sourcing, and website.
- To comply with legal obligations and prevent abuse.
We never sell candidate data. We share a candidate's information with a specific employer only in the context of a role that candidate is a fit for, and we tell candidates when we do.
5. Data sharing and disclosure
- Employers: shortlisted candidate profiles are shared with the hiring employer for the relevant requisition.
- Service providers: vendors who help us operate (hosting, email, analytics) under contract.
- Legal requirements: when required by law or to protect our rights.
- Business transfers: in connection with a merger, acquisition, or sale of assets.
6. International data transfers
We may process information in the United States and other countries. Where personal data is transferred out of the EEA or UK, we use appropriate safeguards such as Standard Contractual Clauses to protect it.
7. Data retention
- Candidate profiles: retained while you remain in our network; removed within 30 days of a deletion request.
- Employer records: retained for the duration of the engagement plus applicable legal periods.
- Support communications: up to 36 months.
- Server logs: typically up to 12 months.
8. Security
- Encryption of data in transit (TLS) and at rest.
- Access controls and principle of least privilege.
- Regular review of our vendors and infrastructure.
- Prompt response to suspected incidents.
